Before the Festive Rush: Five Steps to Better Year-End Supply Planning

November is a useful checkpoint for businesses preparing for the end of the year. Some teams are working towards final production targets, others are preparing for a busy trading period, and many are planning a temporary closure.

Whatever your schedule looks like, reviewing your chemical and cleaning product requirements now can help make purchasing decisions clearer.

A practical supply plan starts with knowing what you have, what you need and when you need it. Here are five steps to guide that process.

1. Review the stock you actually have

Start with a physical stock check and compare the results with your records.

Identify products that are used frequently, items that are running low and stock that has remained unused. Check the condition of packaging and review any applicable shelf-life or storage requirements.

Where several people or departments use the same products, bring their requirements together before ordering. A shared view can help avoid duplicate purchases and overlooked shortages.

The aim is to build your order around real consumption and upcoming work.

2. Match your order to your operating schedule

Your usual monthly order may need adjusting as year-end approaches.

A business preparing for a shutdown will have different requirements from one expecting increased activity. Consider confirmed projects, production plans, cleaning schedules and the date your team returns in January.

Ask yourself:

  • Which products are essential to complete our remaining work?

  • Will any activities increase or slow down?

  • What stock will we need when operations resume?

  • Do we have suitable storage capacity for the quantities we are considering?

Use those answers to prioritise your purchases. Any additional stock should have a clear purpose and be appropriate for your storage conditions.

3. Confirm availability and timing with your supplier

Once you have a draft order, discuss it with your supplier.

Confirm product availability, packaging options, quantities and expected lead times. Ask about order cut-offs, collection arrangements and delivery schedules where relevant.

If your preferred product or quantity is unavailable, allow time to assess your options. For chemicals used in a specific process, any proposed alternative should be reviewed against the required specification and application before approval.

An early enquiry gives both parties more time to clarify details and agree on a workable plan.

4. Include the everyday essentials

Production materials may receive most of the attention, but routine supplies deserve a place in your year-end review too.

Check the products used to maintain kitchens, washrooms, floors and shared spaces. Where relevant, include dishwashing and laundry products in your stock assessment.

Choose products suited to the task and follow their label directions. Ensure the people using them understand the required application and storage instructions.

A simple checklist organised by work area can help you identify what needs replenishing without ordering unnecessary extras.

5. Prepare for the January restart

Before closing your November plan, look ahead to the first weeks of the new year.

Record what has been ordered, what is still outstanding and who will receive or collect each order. Share the information with the people responsible for purchasing, stores and operations.

If your business closes over the holidays, check which essential products should be available when the team returns. Keep an updated stock record so that January purchasing starts with accurate information.

This small amount of preparation can make the return to work more organised.
